High-Producing Real Estate Team – Central Florida

Position Overview

We are a top-producing real estate team managing a high volume of listings and 80+ transactions per month. As our team continues to grow, it has become essential that—in addition to our current Transaction Coordinator, we hire a Listing & Transaction Manager who can provide on-site oversight, leadership, and quality control.

This role focuses on reviewing, auditing, maintaining accuracy, and ensuring compliance across all listings and transactions. The Listing & Transaction Manager will not prepare documents but will verify, update, and oversee everything completed by the Transaction Coordinator and agents to ensure nothing is missed.

This person will also provide high-level operational support to Erica on her listings and transactions, ensuring a polished, concierge-level client experience.

Key Responsibilities Operational Oversight, Leadership & Quality Control

  • Serve as the main on-site operational point of contact for agents, clients, and vendors.
  • Lead, supervise, and collaborate closely with the Transaction Coordinator, ensuring all tasks are accurate, timely, and fully completed.
  • Conduct daily audits across MLS, Follow Up Boss, Zillow, and transaction systems for accuracy, compliance, and completeness.
  • Review all documents, disclosures, contracts, and required forms for correctness and ensure they are properly organized and uploaded (not prepared by this role).
  • Implement checks-and-balances systems to eliminate errors, maintain consistency, and improve operational workflow.
  • Support Erica directly with oversight on her transactions, ensuring all details are monitored and accurate.

Listing Management (Oversight & Accuracy Control)

  • Coordinate and oversee listing readiness (photography, videography, staging, cleaners, vendors) by confirming scheduling and task completion.
  • Review all listing documents and disclosures for correctness and compliance (not preparing them).
  • Input updates, corrections, and audits into MLS to ensure all listings remain accurate, compliant, and current.
  • Monitor and verify all listing details: pricing, remarks, photos, status changes, deadlines, and required fields.
  • Oversee marketing assets—photos, videos, flyers, social media, website updates—to ensure accuracy and consistency.
  • Maintain consistent seller communication regarding listing activity, updates, and recommendations.
  • Prepare weekly listing activity reports and verify accuracy of all recorded data.

Transaction Management (Oversight & Auditing)

  • Oversee and manage the accuracy of the contract-to-close workflow for buyers and sellers.
  • Review all uploaded documents, timelines, and contract milestones for compliance and correctness.
  • Ensure all deadlines (inspection, appraisal, loan commitment, closing) are updated, monitored, and followed.
  • Confirm inspections, surveys, walkthroughs, and vendor appointments are scheduled and completed.
  • Verify CRM and transaction platforms are updated daily with accurate notes, documents, and milestones.
  • Identify issues early and work collaboratively with the TC and agents to resolve them.
  • Review closing packets, commission sheets, and post-closing files to ensure full compliance.

Qualifications

  • Experience in real estate listing management, transaction management, or compliance preferred.
  • Strong understanding of Florida real estate documents, MLS compliance, timelines, and transaction processes.
  • Exceptional accuracy, organizational skills, and attention to detail.
  • Ability to manage multiple listings and a high volume of transactions simultaneously.
  • Outstanding communication and leadership skills.
  • Tech-savvy with MLS, Zillow, Follow Up Boss, Dotloop, Skyslope, Command, or similar platforms.
  • Proactive, solutions-driven, and able to anticipate needs and prevent issues before they arise.
  • Confident in reviewing and overseeing the work of the Transaction Coordinator and providing clear guidance.

  • All listings and transactions remain compliant, accurate, and up to date.
  • MLS, Follow Up Boss, and Zillow reflect real-time, error-free information at all times.
  • The TC is supported, supervised, and consistently delivering high-quality, accurate work.
  • Clients receive timely communication and feel well-supported.
  • Erica’s listings and transactions receive elevated, detailed oversight.
  • Agents operate more efficiently because operational gaps are closed.
  • The team experiences fewer errors, reduced delays, and stronger overall workflow consistency.
  • Operations scale smoothly as the team continues growing.


Pay: $69,000.00 – $72,000.00 per year

Benefits: Paid time off
